Frequently Asked Questions.

My department has heaps of documents in cupboards and spilling out of filing cabinets – can I just scan all this and chuck it out?

No, records must be appraised and an appropriate sentence applied. Once you know which of your records may need to be kept to fulfil the University’s legal obligations, you will be better able to quantify the storage problem. Building a business case for digitising records will require these steps to be completed before any scanning or destruction is planned. Consult Records Services for advice about records appraisal.

I have lots of old printed material which I’d like to rewrite and publish but I cannot find or open my original word-processing files to edit them – can scanning help?

Yes, the UDS has a service called Re-Born Digital which can render typed or printed material into editable form. Follow the link for more details and examples.

My research project documentation is getting out of hand – what can UDS do for me?

The UDS can provide you with advice on the digitisation of your research records, what formats and standards are most applicable, whether you should do the work yourself, use our in-house service, or outsource to a local bureau (we can refer you to several).

Does UDS charge for University departments/staff for digitisation work?

The UDS provides some digitisation services free of charge – like collection items deemed by Library Executive to be of high priority. For items outside this category, and if resources allow, UDS can also digitise materials on a fee-for-service basis.
